Offices, shops and units cleaned to an agreed specification

Commercial cleaning in this region means small and medium premises far more often than it means tower blocks. Away from the city core the stock is offices above shops, high street parades, unit offices and trade counters on the industrial estates, surgeries, salons, nurseries, halls and kitchens, and this service is built around that reality rather than around a corporate floorplate.

From the Selly Oak base we cover premises along the Bristol Road and the Hagley Road, the high streets at Stirchley, Kings Heath, Bearwood and Harborne, the professional offices around Edgbaston, and west into West Bromwich, Oldbury and Tipton, where the estates are unit offices, trade counters and workshops. Food premises are a different job again: a restaurant kitchen in Sparkbrook or Sparkhill is surveyed, specified and priced separately from an office.

Commercial cleaning is a contract rather than a booking. It runs to a written specification, at a frequency matched to how hard the premises are actually used, and an 8am start on a weekday usually gets it done before the building fills up.

The people who arrange it are business owners, office managers, landlords and managing agents, and they need different things from a householder: key or code access for our visits, evidence of insurance, and an invoice at the end of the month rather than a payment on the day.

Cleaning before you open

Visits run within our published hours, Monday to Friday 8am to 6pm and Saturday 9am to 6pm, and an 8am start usually clears the premises before trading. Early access needs a few things settled before the first visit.

  • Whether you give us a key, fob or code for our visits, and whether there is a key safe on site
  • The alarm code, the panel location and what happens if it sounds
  • Whether the building has a shared entrance with its own access hours
  • Parking or loading for the van at the hour we actually arrive
  • Which lights and which doors are to be left as found
  • A named contact who can be reached while we are on site

All of that is taken in writing at the site survey and kept with the job, so it does not live in one person’s head.

Washrooms, staff kitchens and consumables

Washrooms are what visitors judge a business on, and staff kitchens are what staff complain about. Both need attention on every visit, whatever the rest of the specification says.

  • Toilets, urinals, basins, taps and splashbacks sanitised
  • Mirrors, dispensers, hand dryers and cubicle doors wiped down
  • Washroom floors mopped, including behind the pan and along the skirting
  • Staff kitchens and breakout areas: worktops, sink, microwave, fridge exterior, tables and chairs
  • Bins emptied and relined, recycling kept separate as you have set it up
  • Consumables restocked: soap, paper towel, toilet roll and bin liners

Consumables can be supplied by us and itemised on the invoice, or bought by you and simply restocked by us each visit. If you already buy through a purchasing account, the second is usually simpler. Either way it needs deciding at the start, so a washroom never runs dry because both sides assumed the other was buying.

Entrance matting, hard floors and waste

Entrance matting is the cheapest floor protection a building has, and it only works if it is vacuumed through rather than brushed over. Most tired commercial floors are the result of grit walked in past matting that was never properly cleaned.

  • Barrier and entrance matting vacuumed hard, both faces where it lifts
  • Hard floors swept and mopped, with periodic machine cleaning where the finish needs it
  • Carpet tiles vacuumed, with hot water extraction scheduled separately
  • Waste taken out to your bin store rather than left bagged in the office
  • Recycling kept separate through the whole chain, not merged at the bin store
  • Trade waste bin areas swept, and hosed where there is a drain to take it

Insurance, method statements and what a managing agent asks for

A managing agent will not let a contractor into a building on the strength of a phone call. Before a first visit they normally want a pack, and ours is available on request so it does not hold up your start date.

That usually means:

  • A public liability insurance certificate showing the cover level and the expiry date
  • Employer’s liability cover where staff are on site
  • A method statement for the tasks and a risk assessment for the building
  • COSHH data sheets for the products that will be used on the premises
  • Wet floor signage, and how lone working on site is handled
  • The written specification: the tasks, the frequency and the access arrangements

We are insured, and the paperwork goes to you or straight to the agent, whichever is quicker. If the building has its own induction, permit or sign-in system, tell us at the survey and we will work to it.

The premises we clean across Birmingham and the Black Country

Away from the city core, commercial cleaning in this region is small premises rather than tower blocks, and the specification changes completely between them.

  • Small offices, serviced suites and offices above shops
  • Shops, high street parades and town centre retail units
  • Salons, barbers and treatment rooms
  • GP, dental and veterinary surgeries and private practices
  • Nurseries, pre-schools and after-school clubs
  • Community centres, church halls, mosques and other faith buildings
  • Trade counters and unit offices on the Black Country estates around Oldbury, Tipton and West Bromwich
  • Restaurant and takeaway kitchens, including the Balti Triangle restaurants in Sparkbrook and Sparkhill
  • Communal halls, stairwells and bin stores in blocks of flats and converted houses

A nursery is about floors, low-level surfaces and hand contact points. A takeaway kitchen is about grease. A communal stairwell is about traffic, glass and the front door. We survey the premises before quoting rather than putting an office specification on all of them.

How we do it

  1. 01A site survey before any number is quotedWe walk the premises at the hour the cleaning would actually happen, count the washrooms, look at the floor types and the matting, and find out where the waste goes. Commercial cleaning quoted from a floor area over the phone is a guess, and guesses turn into variations later.
  2. 02A written specification you sign offTask by task and area by area, with a frequency against each line: each visit, weekly, monthly, periodic, plus the access arrangements. It is signed off before the first visit, so every clean is measured against the same document and nobody is arguing six months in about whether the kitchen fridge or the internal glass was in scope.
  3. 03Access settled in writingA key, fob or code for our visits, the key safe, the alarm panel location, the shared entrance hours if the building has them, and a named contact who can actually be reached while we are on site.
  4. 04Paperwork to you or straight to your agentWe are insured, and the public liability certificate is available on request, along with a method statement, risk assessment and COSHH sheets for the products used on your premises.
  5. 05Visits within our published hoursWe work Monday to Friday 8am to 6pm and Saturday 9am to 6pm, and an 8am start usually clears the premises before trading begins. Lights, doors and alarm left exactly as agreed.
  6. 06Invoiced, not paid on the dayMonthly invoicing on agreed terms, with the specification attached so whoever approves it can see exactly what has been bought.

What sets the price of commercial cleaning

Commercial cleaning is quoted per contract after a site survey, never over the phone from a floor area. What actually drives the figure is how many hours the specification takes, the frequency, the number of washrooms, the floor types and whether any of them need periodic machine work, the time of day the visit has to fit, and whether consumables sit on our invoice or your purchase order.

Two things raise a quote more than people expect. Food premises, because grease is a different job from dust and needs different products, different cloths and more time. And buildings with a controlled entrance, where the gap between arriving at the door and starting work is real paid time. Both are better shown in the specification at the start than absorbed quietly and raised as a variation later.

How often commercial cleaning is needed

Within about 25 minutes of Selly Oak, busy offices, food premises, surgeries and nurseries can have visits up to daily, Monday to Friday from 8am and Saturday from 9am. Further out, visits run weekly or fortnightly on the area’s set day. Three days a week is common in a small office nearby where the washrooms need frequent attention but the desks do not. Weekly works for a small unit office, a salon or a quiet trade counter. Communal areas in a block are usually weekly or fortnightly, depending on the number of flats and whether the entrance opens straight onto the street.

Separately from the routine frequency, plan the periodic work: hard floor machine cleaning, carpet extraction, internal glass and high-level dusting. Putting those on a schedule when the contract starts costs less than calling them in as emergencies once a floor has already gone dull or a carpet has greyed along the main walking line.

Frequently asked questions

Visits run within our published hours, Monday to Friday 8am to 6pm and Saturday 9am to 6pm, and an 8am start usually clears the premises before trading. What we need settled first is keys or fobs, the alarm code and panel location, any shared entrance hours, and a contact who is reachable at that time.

Only for access during our visits. If you give us a key or code, nobody needs to be there to let us in; a key is labelled with a job reference rather than the address of the premises, and alarm codes are recorded with the job file, not written on the key. We are not a keyholding or alarm-response service, so the monitoring company’s call list should stay with your own people.

We can, or you can, whichever suits your accounting. We can supply consumables and itemise them on the invoice, or you buy them through your own purchasing account and we simply restock the dispensers each visit. It just needs deciding at the start so a washroom does not run out because both sides assumed the other was buying.

Usually a public liability insurance certificate showing cover level and expiry, employer’s liability, a method statement for the tasks, a risk assessment for the building, and COSHH data sheets for the products used on site. We are insured, and the certificate and the rest of that pack are available on request, to you or straight to the agent.

The tasks, room by room and area by area, the frequency against each one, and the access arrangements: keys or keysafe, alarm, shared entrance hours and a contact. It is agreed before the first visit, and every visit works from the same document, so nothing depends on anyone’s memory of the building.

Contracts are invoiced monthly on agreed terms, with the specification attached so whoever approves the invoice can see what it covers. Paying a cleaner in cash on the day is a domestic arrangement and it does not work for a business that needs a paper trail.

No. A great deal of the commercial work in Birmingham is exactly that size: a shop on a parade, a salon, a takeaway, a nursery, a small surgery, a church or community hall, a letting branch, an office above a shop, a unit office on a Black Country estate. The specification is written to the premises, not to a minimum contract size.

Yes, and it is specified differently from an office. Degreasing of surfaces, splashbacks, wall tiling, equipment exteriors and fryer surrounds, plus floors and floor drains where the grease actually collects. We wipe the outside of the extract canopy as part of the clean. The canopy interior and the ductwork behind it are a specialist trade with its own certification, and we do not offer them.

Yes, for landlords and managing agents. Entrance halls, stairwells, landings, lift interiors, internal glass, entrance matting and bin stores. Those are traffic and door-glass jobs more than anything, and they usually run weekly or fortnightly depending on how many flats feed through the entrance.
